For tutors and lesson teachers

Lessons on the calendar, tuition on autopay.

Put each student's weekly lesson on a plan, and every lesson is on the calendar ahead of time and billed by the month. Parents pay from a saved card, and families book one-off lessons online and move them up to the cutoff you set.

Sound familiar?

What gets in the way, and what changes

Thirty weekly lessons, kept on paper

Every student comes at the same time each week, and one missed line in the planner leaves a family at the door with nobody to teach them.

With Stacwork

Put each student on a recurring plan with their tutor, and every weekly lesson is made ahead on the calendar.

Lesson money in envelopes and apps

Cash at the door, a check in a book bag, and payment app transfers you match to students at the end of the month.

With Stacwork

Bill each family monthly on a recurring invoice set to send on its own, and autopay charges their saved card or bank account on the due date. Cash and checks can still be recorded.

Extra sessions before every exam

In exam season every family wants more time, and your evenings go to trading messages about who can come when.

With Stacwork

Families book an open time online with the tutor they want, and move it from their email up to the cutoff you set.

Features for tutors and lesson teachers

Built around weekly lessons and the families who pay for them

Anything tagged Team and up needs Team or Unlimited. Everything else is on every plan, Free included.

Weekly lessons

  • Weekly lessons on a recurring plan

Recurring visits for cleaning, lawn care, and other regular work: a recurring plan makes each visit ahead on the calendar and bills on its own schedule. The plan's price covers each visit; put anything extra on a separate invoice.

  • Each tutor's own hours and time off

Each person on your team sets their own hours, more than one window a day if they need it, and time off for a whole or part day from their phone. Online booking follows.

  • A column for each tutor on the calendar

See work by day with a column per person, by week or month, as a list, or as an agenda of the day by person. Click an open time to add work there.

  • A warning before you double book a tutor

The calendar marks work that lands on someone's time off, and you are warned before you give someone work that overlaps work they already have.

Booking and changes

  • Families book a lesson online

Clients book an open time online for the services you mark as bookable.

  • Pick a tutor, or anyone available

Clients choose a provider, or anyone available, when more than one can do the service.

  • Families move a booking up to your cutoff

Clients cancel or move their own booking from a link in the email. Moving it online closes at the cutoff you set, and you can switch online changes off.

  • A confirmation with a calendar file

Clients get a confirmation email with the service, the time, the provider, and a calendar file, whether they book online or you book them in.

Billing parents

  • Monthly tuition on recurring invoices

Recurring invoices for service plans and memberships: weekly, monthly, quarterly, or yearly.

  • Autopay from the parent's card or bank

Autopay charges a recurring or rent bill to the client's saved card or bank account on its due date, after the bill is emailed with the card and the date on it.

  • Record cash and checks from families

Record cash, checks, and other payments made outside Stacwork.

  • What each family still owes

Each client's record shows their quotes, invoices, payments, and what they still owe.

Keep families in the loop

  • Lesson reminders a day and an hour before Team and up

Appointment reminders go out the day before and an hour before, sent on their own or drafted for you to approve, as you choose.

  • Parents see the next bill in the portal Team and up

Clients on a recurring plan see the next bill in the portal and, if you allow it, cancel at the end of the period.

  • Parents manage cards and autopay Team and up

Clients add or remove a card or bank account in the portal, and turn autopay on or off for each plan.

  • Payment reminders, drafted for you Team and up

Payment reminders are drafted before the due date and after it, and stop once the invoice is paid.

Questions from tutors and lesson teachers

Straight answers about how Stacwork runs your day.

Can I set up the same lesson every week?

Yes. A recurring plan repeats every so many days, weeks, or months and makes each lesson ahead on the calendar. The plan bills on its own schedule, so a weekly lesson can be billed once a month.

Can parents pay automatically each month?

Yes. A parent saves a card or bank account once, from your link or while paying a bill. Each month the bill is emailed with the card and the date on it, and autopay charges it on that date. If the card is declined, autopay tries it again 3 and 7 days later.

Can families move a lesson themselves?

Yes, for a lesson they booked online or you booked them into: the confirmation email has a link to move it, and moving online closes at the cutoff you set. You can also move any lesson yourself on the calendar.

Can each tutor set their own availability?

Yes. Each tutor sets their own hours, with more than one window a day if they need it, and time off for a whole or part day from their phone. Online booking offers only those times.

Do tutors see each other's students?

Not by default. A Team member sees only the work assigned to them, and the client, invoices, and payments of that work, so each tutor sees their own students and nobody else's.

Do parents get a reminder before each lesson?

On Team and up, a reminder goes out the day before each lesson and again an hour before, sent on its own or held as a draft for you to approve.
