For personal trainers

Book the sessions, bill the month, and get back to training.

Clients book a one-to-one session online at the times you train, and move it themselves up to the cutoff you set. Regulars go on a monthly plan, and autopay charges their saved card on each due date.

What gets in the way, and what changes

Rescheduling between sets

A client cannot make Thursday, so you trade messages between sets until the two of you find another time.

With Stacwork

Clients move their own session from the link in their email to another open time, and online moves close at the cutoff you set.

Early mornings, evenings, and a gap at noon

You train from 6:00 to 10:00 and again from 16:00 to 20:00, and clients still ask for 13:00.

With Stacwork

Set your hours with more than one window a day, and online booking offers only the times you train.

Collecting the monthly fee

Payment is due on the first, a few clients pay on the fifth, and one card has been declined twice.

With Stacwork

Each client's month goes on a recurring invoice set to send on its own, charged to their saved card on the due date, and a declined card is retried 3 and 7 days later before they get the pay link.

How it runs

From a first session to a monthly plan

An intro session booked online, then a session every Wednesday, billed by the month.

Sample names and figures.

  1. Sat 10:05

    An intro session booked online

Ben picks Kayla and a 6:30 slot on Tuesday, before work, and pays a $20 deposit.

  2. Sat 10:05

    Kayla hears about it

An email tells her Ben booked with her, and the session is on her phone in My Day.

  3. Mon 19:20

    Moved by Ben

A late meeting, so he moves it to Wednesday at 6:30 from the link in his email, well before your cutoff.

  4. Wed 7:35

    Paid at checkout

The $80 session less his $20 deposit, charged to his card before he heads to work.

  5. Wed 7:40

    Every Wednesday on a plan

Kayla sets up a recurring plan: a session every Wednesday at 6:30, made ahead on the calendar and billed $300 a month.

  6. Wed 7:42

    His card saved for autopay

Ben saves his card from Kayla's link, and each monthly bill is charged on its due date after it is emailed.

Features for personal trainers

Built around one-to-one sessions and monthly plans

Anything tagged Team and up needs Team or Unlimited. Everything else is on every plan, Free included.

Booking sessions

  • One-to-one sessions clients book online

Clients book an open time online for the services you mark as bookable.

  • Clients pick their trainer, or anyone

Clients choose a provider, or anyone available, when more than one can do the service.

  • A deposit to hold an intro session

Take a deposit when a client books, to hold the time.

  • Clients move a session up to your cutoff

Clients cancel or move their own booking from a link in the email. Moving it online closes at the cutoff you set, and you can switch online changes off.

Your hours

  • More than one window of hours a day

Each person on your team sets their own hours, more than one window a day if they need it, and time off for a whole or part day from their phone. Online booking follows.

  • Only open times inside your hours

Online booking offers only times inside each provider's hours, outside their time off, with the gap you set after each booking.

  • No hour booked twice online

A time booked online is held, so the same provider cannot be booked twice.

  • An email when a client books with you

Your team gets an email when work is assigned to them, moved, or canceled, and when a client books with them.

Monthly plans

  • A weekly session on a recurring plan

Recurring visits for cleaning, lawn care, and other regular work: a recurring plan makes each visit ahead on the calendar and bills on its own schedule. The plan's price covers each visit; put anything extra on a separate invoice.

  • Monthly billing on recurring invoices

Recurring invoices for service plans and memberships: weekly, monthly, quarterly, or yearly.

  • Autopay from a card or bank account on file

Autopay charges a recurring or rent bill to the client's saved card or bank account on its due date, after the bill is emailed with the card and the date on it.

  • Declined cards tried again on their own

A declined card is tried again 3 and 7 days later. After the last try the client gets the pay link and you are told.

Keep clients training

  • Session reminders a day and an hour ahead Team and up

Appointment reminders go out the day before and an hour before, sent on their own or drafted for you to approve, as you choose.

  • Clients manage their card in the portal Team and up

Clients add or remove a card or bank account in the portal, and turn autopay on or off for each plan.

  • A task to reach out when a client goes quiet Team and up

When a client goes quiet, or a top client is due back, Stacwork creates a task to reach out.

  • What each client has paid and still owes

Each client's record shows their quotes, invoices, payments, and what they still owe.

Questions from personal trainers

Straight answers about how Stacwork runs your day.

Can clients book sessions with me online?

Yes. Mark the sessions clients can book, and they pick an open time inside your hours. A time booked online is held, so no one else can book you for the same hour.

Can clients reschedule a session themselves?

Yes, for a session they booked online or you booked them into, from the link in their confirmation email. Online moves close at the cutoff you set, and you can switch online changes off if you would rather handle them yourself.

Can I charge a monthly rate instead of per session?

Yes. A recurring plan puts a client's weekly session on the calendar ahead of time and bills on its own schedule, such as monthly. Or bill any client a recurring invoice weekly, monthly, quarterly, or yearly.

What happens when a client's card is declined?

Autopay tries a declined card again 3 and 7 days later. After the last try, the client gets the pay link and you are told, so you are not asking for money on the gym floor.

Do clients get reminded before a session?

On Team and up, a reminder goes out the day before and another an hour before, on autopilot or as drafts you approve.

Can I start on my own and add trainers later?

Yes. Free covers 2 people and runs the whole loop from booking to paid. Team covers up to 10 and adds reminders and the client portal, and every new account gets Team free for 7 days with no card. See the plans below for each plan's price.

Open your training hours to online booking.

Free runs the whole loop for up to 2 people. No credit card.
