For painting contractors

Estimates with options, paid at the walkthrough.

Let clients tick the rooms, ceilings, and trim they want, take a deposit when they sign, and split a big exterior into a payment schedule. Photos from before and after stay on the job.

What painting contractors use most

  • Ceilings and trim as optional extras
  • A deposit when the estimate is signed
  • Before and after photos on the job
  • Payment schedules on big proposals

What gets in the way, and what changes

Every change means a new estimate

The client wants it priced with and without the ceilings, then with the hallway added, and each version is another evening of paperwork.

With Stacwork

Put the ceilings, trim, and extra rooms on as optional extras the client ticks on or off before signing, or they ask for changes from the link.

Paint bought, then the client backs out

You order the paint and hold the crew's week, and the job falls through a few days before the start.

With Stacwork

Ask for a deposit when the client accepts, paid by card or bank. It comes off the final invoice on its own.

Carrying a big exterior until the last coat

On a whole-house repaint you pay for weeks of labor and paint before you send a single invoice.

With Stacwork

Add a payment schedule to the proposal. The client signs it with the proposal, it becomes the project's milestones, and you invoice each one when it is done.

Features for painting contractors

Built around estimates, crews, and the final walkthrough

Anything tagged Team and up needs Team or Unlimited. Everything else is on every plan, Free included.

Estimates that close

  • Rooms, ceilings, and trim as optional extras

Add optional extras the client can tick on or off before accepting.

  • Your own sections and pick-one paint grades

Proposal mode adds your own sections and pick-one pricing tiers.

  • Signed on screen from a link

Clients accept and sign on screen, decline, or ask for changes from the link.

  • A deposit when the client signs

Ask for a deposit when the client accepts, paid by card or bank.

Bigger jobs, paid in stages

  • A payment schedule on the proposal

Add a payment schedule to a proposal. The client signs it with the proposal, and it becomes the project's milestones.

  • Each stage tracked as a milestone

Track each project's milestones, each with an owner, a due date, a fee, and a status.

  • Invoice each milestone when it is done

Invoice each project milestone when it is done. The final invoice bills whatever is left.

  • Clients follow the project in the portal Team and up

In the portal, clients follow a project's milestones, pay a billed one, open the files you share, and approve deliverables or ask for changes.

Crews on site

  • One painter or a whole crew

Assign one person or a whole crew.

  • Each painter's day on their phone

Your team gets My Day on their phone: their schedule, job details, and profile.

  • Before and after photos, notes, signatures

Checklists, notes, photos, and the client's signature on each job.

  • Painters see only their own jobs

By default, a Team member sees only the work assigned to them, and the client, invoices, and payments of that work.

Get paid

  • Check out at the final walkthrough

Check out on site: the bill comes from the work with the deposit taken off, the client can add a tip, and you charge a card, record cash or a check, or send a pay link.

  • The deposit comes off the final bill

A deposit paid on the quote or at booking comes off the invoice on its own, and is never counted twice.

  • A pay link on every invoice

Every invoice has a pay link. Clients pay by card or bank transfer, with no account needed.

  • Review requests when the job is done Team and up

Review requests are drafted after finished work.

Questions from painting contractors

Straight answers about how Stacwork runs your day.

Can clients choose which rooms to include?

Yes. Put each room, the ceilings, or the trim on the estimate as an optional extra, and the client ticks what they want before accepting and signing on screen. If they want something else, they can ask for changes from the link.

Can I offer two paint grades on one estimate?

Yes. Proposal mode adds pick-one pricing tiers, so you can price the job with a standard paint and a premium one, each tier built from catalog items. It also adds your own sections, such as prep and surface repair. The client chooses one tier when they accept.

How do I get paid in stages on a big exterior?

Add a payment schedule to the proposal. The client signs it along with the proposal, it becomes the project's milestones, and you invoice each milestone when it is done. The final invoice bills whatever is left.

Do clients pay a deposit when they sign?

If you ask for one. Set a deposit on the estimate and the client pays it by card or bank when they accept. It comes off the final invoice on its own and is never counted twice.

Can my crew take photos on site?

Yes. Each painter sees their day in My Day on their phone, and each job holds photos, notes, checklists, and the client's signature. By default a Team member sees only the work assigned to them.

Can clients follow a big project online?

On Team and up, clients follow a project's milestones in the client portal, pay a billed one, and open the files you share.
