For marketing, creative, and web agencies

From signed proposal to paid retainer, in one place.

Send a proposal with your own sections and pricing tiers, turn the signed payment schedule into milestones, and bill retainers every month without rebuilding the invoice. Everyone on the team sees what they own and moves it along.

What agencies use most

  • Proposals with sections and pricing tiers
  • Payment schedules that become milestones
  • Retainers as recurring invoices
  • Client approval on each deliverable Team and up

Sound familiar?

What gets in the way, and what changes

Proposals pieced together from three files

The scope sits in one doc, the package prices in a spreadsheet, and the signed copy in someone's inbox, so nobody is sure which version the client agreed to.

With Stacwork

Build the proposal in Stacwork with your own sections and pick-one tiers. The client signs on screen, and the version they accepted is saved exactly as they saw it.

Approvals buried in reply-all threads

The homepage design goes out for feedback, comes back in three replies from two people, and the round you finished last week was never clearly signed off.

With Stacwork Team and up

In the client portal, clients open the files you share and approve each deliverable or ask for changes, right where they follow the project's milestones.

Nobody sure who owns the next deadline

Design is waiting on copy, copy is waiting on the client, and the launch date lives in one person's calendar.

With Stacwork

Give each milestone and deliverable an owner and a due date. Owners see their work on their phone and move it along, and the dates show on the calendar.

How it runs

One website project, start to paid

A new site for a local bakery, sold with three tiers and billed in two milestones.

Sample names and figures.

  1. Mon 9:15

    A request from your website

The bakery's owner asks for a new site through the request form on your agency's website.

  2. Mon 15:40

    Proposal with three tiers

Starter, Standard, and Plus, each built from your catalog, with your scope section and a schedule of two payments.

  3. Tue 10:05

    Signed on screen

They pick Standard at $3,600 and sign, and the two payments become the project's milestones: design and launch.

  4. Tue 10:20

    Owners on each milestone

Priya owns design and Sam owns launch, each with a due date on the calendar and on their phone.

  5. Fri 14:10

Homepage design approved Team and up

The bakery opens the homepage design in the portal and approves it.

  6. Fri 14:30

    Design milestone billed

You invoice the $1,800 design milestone, and the client gets it with a pay link.

  7. Mon 9:05

    Paid by bank transfer

The bakery pays from the link by bank transfer, and the invoice reads paid once the money clears.

Features for marketing, creative, and web agencies

Built around proposals, milestones, and retainers

Anything tagged Team and up needs Team or Unlimited. Everything else is on every plan, Free included.

Win the work

  • Proposals with your own sections

Proposal mode adds your own sections and pick-one pricing tiers.

  • Pick-one tiers built from your catalog

Build each pricing tier from catalog items, so prices stay consistent.

  • A payment schedule the client signs

Add a payment schedule to a proposal. The client signs it with the proposal, and it becomes the project's milestones.

  • Templates for the lines you quote most

Save the quotes you send most as templates.

Run the project

  • Milestones with an owner, due date, and fee

Track each project's milestones, each with an owner, a due date, a fee, and a status.

  • Deliverables alongside the milestones

    Track deliverables alongside the milestones.

  • Due dates on the calendar

Milestone and deliverable due dates show on the calendar next to your jobs and appointments.

  • Files and notes on every project

Keep each project's files and notes on it, from the office or a phone.

Your team and your client

  • Owners move their work along from a phone

Whoever owns a milestone or deliverable sees it on their phone and moves it along.

  • Time logged at each person's own rate

Log time on the job at your hourly rate, or a person's own, and billable time carries onto the invoice.

  • Team members see only their own work

By default, a Team member sees only the work assigned to them, and the client, invoices, and payments of that work.

  • Clients approve deliverables in the portal Team and up

In the portal, clients follow a project's milestones, pay a billed one, open the files you share, and approve deliverables or ask for changes.

Get paid

  • Bill each milestone when it is done

Invoice each project milestone when it is done. The final invoice bills whatever is left.

  • Monthly retainers as recurring invoices

Recurring invoices for service plans and memberships: weekly, monthly, quarterly, or yearly.

  • Autopay for retainer clients

Autopay charges a recurring or rent bill to the client's saved card or bank account on its due date, after the bill is emailed with the card and the date on it.

  • Clients pay by card or bank from a link

Every invoice has a pay link. Clients pay by card or bank transfer, with no account needed.

Questions from marketing, creative, and web agencies

Straight answers about how Stacwork runs your day.

Can a proposal offer the client a choice of packages?

Yes. Proposal mode adds your own sections and pick-one pricing tiers, and each tier is built from catalog items so your prices stay consistent. The client picks a tier and signs on screen, and the proposal they accepted is saved exactly as they saw it.

How do I bill a website build in stages?

Put a payment schedule on the proposal, and the client signs it with the scope. Each payment becomes one of the project's milestones, which you invoice when that stage is done. Anything left over is billed on the final invoice.

Can clients approve designs without another email thread?

On Team and up, clients follow the project's milestones in the portal, open the files you share, and approve each deliverable or ask for changes. They can pay a billed milestone there too.

How do monthly retainers work?

Set each retainer up as a recurring invoice, weekly, monthly, quarterly, or yearly. Recurring invoices wait for your review unless you switch them to send on their own, and autopay charges the client's saved card or bank account on the due date, after the invoice is emailed.

Can we log hours at each person's rate?

Yes. Log time on the work at your hourly rate or at a person's own, and billable time carries onto the invoice.

Is there a free plan for a small agency?

Yes. Free covers every step, from the first request to the paid invoice. The client portal, deliverable approvals, and Co-work come with Team, and every new account gets Team free for 7 days with no card. The plans below show the prices.
